Communication is an important factor in various aspects of our daily life. The rapid development of technology has given us more options to communicate with each other. Through technological communication devices communication can be more efficient and faster than maybe more old-fashioned communication such as post, which is by some people appropriately referred to as “snail mail”. Since the increase in communications via technology, especially in the business world, there have been many debates and arguments about which way of communication is best, face-to-face communications or communications via technology.
First of all, here is a description of these two ways of communicating. Face-to-face communication involves parties talking and listening to one another. The people communicating are in the same room. Face-to-face requires actual physical presence of both parties. To many, this form of communication is obviously the best of two since people are actually talking which may make them feel more connected and therefore they think the communication is more effective. Some examples of face-to-face communication are meetings, discussions and brainstorming.
A description of communication via technology might be that it involves people communicating over a distance using communication devices. The communication via technology is increasing in its implementation in businesses. It allows faster communication with clear messages which decreases the chance of misinterpretation. The main form of communication via technology is email. Another example is text messaging.
These two forms of communication offer many advantages. Here are the main advantages listed. Face-to-face communication allows for immediate feedback. Since the people involved are actually physically in the same room and talking directly to each other, the recipient of the message is able to answer immediately. To some extent this makes face-to-face communication a fast way to communicate although one has to consider the time lost by talking and the fact that the people have to go to the same room. Another advantage of face-to-face communication is the fact that the person speaking is able to put facial expressions and vocal intonations with his message. This makes it easier for the recipient to evaluate the underlying message in the information that the speaker is communicating. In case of urgency face-to-face communication provides the possibility of the speaker conveying how urgent the message is by using the facial expressions and vocal intonations. Face-to-face communications makes it easier for the recipient to grasp the importance of the message. Other two advantages of face-to-face communication are that it is regarded as more personal and motivating. Since people have to take action to be able to speak to one another in person, the other person will appreciate the message more since he or she might feel more valuated. These are some of the main advantages of face-to-face communication and they show that face-to-face communication is a good way to have effective communication.
One of the main advantages of communication via technology is that it gives the recipient time to research. He does not have to give a direct, maybe impulsive, respond; but he is able to think about what he will answer to the send message. Another advantage is that communication via technology is more time efficient. Since the parties involved do not have to come together to talk to each other, they do not lose time moving from place to place. Also, when someone types a message he will send it faster than when he talks to someone. When he has to speak to someone in person, he might get distracted by other things. When typing a message, there are much less distractions since the person stays in the same room. Other advantages of communication via technology are that it is very efficient to exchange information and it minimises the chance of misinterpretation. Since the recipient is able to reread the message several times to make sure he gets it, the chance of misinterpretation is much less. Linked to this is that communicating through technology is more direct since it is written word so the recipient can take everything literally.
Although these ways of communication provide many advantages, there are still some disadvantages to consider. For face-to-face communication some of these are that it is time consuming and unrepeatable. The people involved have to come together to communicate and the message that they are communicating is unrepeatable. The recipient is not able to reread the message again, since it is spoken. Other disadvantages are that by not paying close attention or through selective hearing face-to-face communication might lead to misinterpretation.
Some of the disadvantages of communication via technology are that is written word without expressions, making the recipient unable to interpret some of the underlying messages such as the urgency of the message. Also, communication via technology does not require immediate feedback which may cause the recipient to take a long time to respond. Another disadvantage of communication through technology is that it may feel impersonal since there is no physical contact between the people communicating.
From these advantages and disadvantages of face-to-face communication and communication via technology, we are able to draw some conclusions. Communication via Technology, especially email, is most effective to communicate and exchange data since it is direct and clear. Face-to-face communication is best used to deal with personal cases and decisions that have impact on employees. To get the most efficient way to communicate is finding a balance between these two forms of communication since they are complementary to each other to some extent.
